A Complete RFQ Gets You an Accurate Quote on the First Pass
Every request for quotation is, functionally, a set of questions posed to a supplier, and the completeness of the answer that comes back is bounded by the completeness of the questions asked. This sounds obvious stated directly, but it's worth stating directly, because the most common source of quotation delay, inaccurate initial pricing, and later specification disputes in custom forging procurement isn't supplier incompetence or unreasonable buyer expectations — it's simply an RFQ package that omits information the supplier genuinely needed to quote accurately, forcing either a round of clarifying questions before quotation, or worse, a quotation built on an assumption that later proves incorrect once the missing detail surfaces during manufacturability review or production.
The core content any forging RFQ should include starts with drawing completeness: a full 2D or 3D definition of the component geometry, with all dimensions and tolerances shown, and — critically — some indication of which dimensions are actually critical to function versus which are comfortably within standard as-forged or as-machined capability. A drawing where every dimension carries the same uniform, tight title-block tolerance regardless of actual functional importance is a common but genuinely costly gap, since a supplier reading it has no reliable way to distinguish a dimension that truly drives process selection and cost from one that's simply inheriting a default tolerance block without functional justification, and will often quote conservatively against the drawing as written rather than guess at the buyer's actual intent. Alongside geometry, material specification needs the same completeness: not just a grade name, but the governing standard it's called against, and the required final condition (as-forged, normalized, quenched and tempered, or a specific hardness or mechanical property range), since the same nominal grade can represent meaningfully different processing, cost, and lead time depending on the condition actually required.
Quantity, testing, and certification requirements round out the technical core of a complete RFQ. Quantity should be stated not just as the immediate purchase order volume but with some indication of expected total or annual volume where known, since this genuinely affects whether a supplier proposes dedicated tooling, what price breaks are realistic to quote, and how they plan capacity — a supplier quoting a single prototype quantity in isolation, when the buyer actually has a much larger annual volume in mind, may propose a different (and less cost-effective, at true volume) manufacturing approach than they would with full quantity context. Testing and certification requirements — required mechanical or non-destructive testing, and whether standard EN 10204 3.1 material certification suffices or third-party witnessed 3.2 certification is required — should be stated explicitly rather than left to be inferred from the application, since these requirements carry real cost and lead-time implications that belong in the initial quotation, not surfaced as a late addition after pricing has already been set.
